Terms & Conditions

Please read the following carefully:

When booking an appointment with me, you will need to agree to my Terms & Conditions, and by paying your booking fee, this confirms your acceptance of my Terms and Conditions.

Consultations are Free Of Charge but a charge of £25 must be paid at the time of booking to confirm your appointment - this is a refundable charge if no service booking is made.  However, if you do book a treatment, the £25 will be deducted from the booking fee of £50. 

 

If you wish to book a service appointment, a £50 booking fee is required upfront at the time of booking.  This is non-refundable and is required to secure and guarantee your booking time and confirm your commitment to attending the appointment. This is not a deposit per se, and is not deductible from the treatment cost.  Until this is received, you do not have a confirmed booking and the date/time proposed can potentially be taken by another client.  Cancelling your appointment once booked will result in losing your booking fee if you do not wish to transfer it to another treatment / appointment.  

Please note - any messages sent outside of working hours will be read during working hours.  E.g. emailing or messaging at 11:30pm will be counted from 9am the following day.

Cancellations

Any cancellations made within 72 hours of your appointment will be chargeable at 50% of the value of the treatment. Any No-Shows will be charged 100% of the value of the treatment.

Cancelling your scheduled top-up appointment will result in an extra £50 booking fee to be paid before you can schedule another appointment, if sufficient notice (3 full days) was not given, as this is potentially a slot that another client could have filled.

Occasionally, unforeseen circumstances do cause interference with plans, and I will try to be as considerate as possible. However, any missed appointments could potentially have been filled by another client.  I appreciate your consideration and understanding in this matter.​

Making a booking when you are not able to have the treatment and not checking with us beforehand (under 18, pregnant, breastfeeding, some medical conditions or medications) will mean that your booking fee either goes towards a treatment that you can have, or held until you are in a position to have the treatment, or would mean being forfeited. Clients are expected to do their research and check with me beforehand if they are any of the above, or aren't sure, before booking.

Rescheduling

I require a minimum of 72 hours notice for ANY rescheduling. Rescheduling can be done with ample notice (more than 3 days) free of charge, but once only.  Any additional rescheduling will be subject to a new booking fee charge of £50, even if ample notice is given.  Rescheduling in less than 3 full days will forfeit the full booking fee.

If you request a patch test to be posted and fail to let us know that it hasn’t arrived with enough time to post another (1 week), you will be expected to collect one yourself. Likewise, if a client falls pregnant, it is illegal for us to continue with a treatment/top-up and this will be pushed back until the client is no longer breastfeeding - any extra treatments needed are chargeable.  If sufficient notice is given (3 full days), your full booking fee will roll over to the next available appointment.

Rearranging a top-up appointment with less than 3 full days notice will incur a £50 charge in order to book again. If you fall pregnant after your first treatment and before your top-up, you will not be allowed to have your top-up until you are no longer pregnant or breastfeeding. This may mean that you will need more than 1 top-up as they will be unfinished and very faded, which will be at your expense at the price of a colour boost if this is necessary.

If sufficient notice is given, (3 full days), your full booking fee will roll over to the next available appointment.  

Lateness

Running late puts pressure on the daily schedule. Please notify us as soon as possible to see if we can accommodate this eventuality. If your appointment needs to be rescheduled due to your lateness, it will be recognised as a no-show and the following applies:

  • If the time left is sufficient to go ahead, then the normal charge applies. However we cannot guarantee you will get the full time that would have originally been given to you.

  • It is not acceptable to show up late and ask for a reduction in price in proportion to the reduction in time.

Additional Information

Booking the 8-12 week top-up is the client's responsibility. If it falls outside of this time frame, there will be an additional late top-up fee (£25-£75 depending on how much work is needed).

Full payment of the treatment must be paid on (or before) the first session of your treatment.  

Cash or online bank transfer payments are preferred please.  However, I do have a card terminal for any credit card payments.  

If you have had previous permanent makeup done elsewhere, it is the client's responsibility to inform me and send me pictures of the area, prior to booking in, to ensure I can work over it successfully.  If you arrive to your appointment with previous work that you have not declared, (and that we have not confirmed we are happy to work over) we may not be able to carry out the treatment.  If this is the case, you will lose your booking fee.  

Deciding last minute to add an additional service to your treatment is not always possible. Please give as much notice for this as possible as it requires more time to do more treatments. Discounts for multiple bookings are available, so please decide ahead of time.

It is the client’s responsibility to let me know of any change in their contact details or in letting me know alternative ways to contact them. By providing your information, you agree to receiving newsletters/promotional information, unless requested otherwise.

If you act in a way that is abusive or untoward, you will be asked to leave the premises.  If this is via message, you will be denied entry in future.  I reserve the right to refuse custom (even if a top-up hasn't been carried out) at any time if any abuse or negative behaviour has occurred. No refunds will be given in these circumstances.  Any slanderous or unconfirmed reviews on any public domain will be investigated, reported, and legal action may be taken.

Business Policies

BOOKING FEE -

A Non-Refundable booking fee of £50 (per treatment) is required to confirm, secure and guarantee your appointments. Until this is received, you do not have a confirmed booking and the date/time proposed can potentially be taken by another client. This amount is separate to the total cost and not classed as a deposit, and will therefore NOT be deducted from the procedure fees on the day of your appointment.

CONFIRMATION & REMINDER - 

Once the booking fee has been received, I will confirm your provisional appointment - you will receive a text message confirming this as well as a confirmation email from my booking system. As a courtesy, I will text a reminder message to you about 10-14 days prior to your appointment. My Timely booking system will send you another email reminder one week before your appointment, and a final text message reminder 3 days before your appointment.  The final text message requires you to reply with a "YES" to confirm attendance. (Please do not send any other messages to this number as it is an un-monitored mailbox.)

However, if we are unable to reach you, please understand that it is your responsibility to remember your appointment dates and times to avoid late arrivals, missed appointments and the relevant cancellation fee.

CONSULTATION FORMS

Once your appointment has been confirmed, you will receive an email from my booking system with a link to log in and complete the online consultation forms.  You can log in using your mobile number with +44 prefix.  Please do read these carefully and complete online as required, no need to print anything off.  They must be completed at least 2 weeks before your appointment takes place.  Your appointment cannot proceed unless these forms have been returned online in full.  

CANCELLATIONS/NO-SHOWS

We kindly ask that any cancellations are made at least 3 days (72 hours) before the beginning of your appointment. Any cancellation made within 72 hours will be chargeable at 50% of the value of the treatment.  Keep in mind that when you forget to cancel your appointment, we cannot fill that slot, and potential clients on the waiting list miss the opportunity to book these services. Any No-Shows will be charged 100% of the value of the treatment. 

 

LATENESS

Please notify us as soon as possible to see if we can accommodate this eventuality. If your appointment needs to be rescheduled due to your lateness, it will be recognised as a NO-SHOW and the following applies:

RESCHEDULING 

Rescheduling your appointment can be done free of charge, but once only.  If you must reschedule, please allow at least 3 days (72 hours) of advance notice. Anything within the 3 days before your scheduled appointment, you will NOT be able to reschedule and your booking fee will be forfeited.  A new booking fee will be required to make an appointment.  You may reschedule your appointment via the confirmation email/text you receive or you can contact me by phone at +44 7521 059607

WAITING LIST

To join my rescheduled/cancellation waiting list, you must have a current booking with me. It would be unfair to offer an earlier availability to someone who has not yet committed to a booking over someone who has a current booking. Therefore, you will need to make a booking for the next available/convenient date to you via my booking system.
During the booking process, there is a notes section where you can add “please add me to the cancellation list. I’m mostly available on Tuesdays (for example)”  These appointments do come up, especially in this climate. Please ensure I have your up-to-date contact details so that I can reach you at short notice.

 

NO GUESTS/SPECTATORS

Please refrain from bringing guests with you to your appointment due to cross contamination and interruption. The treatment room is small and does not allow for extra accommodation. 

In case you need to translate for a family member, please seek my permission well before your appointment.

PREPARATION

Please arrive on time, but if you are early, please wait outside in your car. Text me (+44 7521 059607) on your arrival and I will advise when I am ready for you to come in.  Arrive with your treatment area free from makeup.

Do not take any painkillers or consume alcohol for at least 48 hours prior to your appointment.  Avoid consuming caffeine for at least 24 hours (preferably 48 hours) prior to your appointment.

Wear warm and comfortable clothing.  Please set your phone to silent/do not disturb.  You may use the WC before/after your procedure.

TOP-UPS 

All new permanent cosmetic treatments are a two-part process. After your initial treatment, you will be required to come back within 8-12 weeks for a second, but often shorter appointment.

This allows me to assess how your treatment has healed, and to make any shape and colour adjustments that may be needed in order to really perfect your treatment. If you go beyond the 12 week mark, you may be charged a late top-up fee.  After this second treatment, any further colour boosts will be completed in a single treatment so you do not need to book a top-up after a colour boost.

COLOUR BOOSTS 

A Colour Boost is your refresh treatment which takes place after your initial and top-up appointment. These are recommended every 12 to 36 months to keep the colour fresh and vibrant.

Please note - there must be enough skin to pigment transparency before we are able to add more pigment. We do not want the skin to become over-saturated.  If you are unsure about when to book, just let me know so that we can discuss this.

Unless previously discussed and agreed, all colour boost bookings are for EXISTING CLIENTS ONLY. If you book this service and are not existing clients, and have not discussed this with me, you will be charged as a new treatment.

 

CORRECTIONS/COVER-UPS

For all previous work done by another artist, please send CLEAR photos of the relevant area to me on +44 7521 059607, or direct message on Facebook/Instagram, BEFORE BOOKING your appointment. This is so that I can establish if you are suitable for the treatment. Unfortunately I am not able to take on all cover-ups and quite often I will recommend removal (or partial removal) prior to the new treatment in order to get the best result. If you arrive at your appointment with previous work that you have not declared, (and that we have not confirmed we are happy to work over) we may not be able to carry out the treatment. If this is the case, you will lose your booking fee. 

GIFT VOUCHERS

All gift vouchers are non-transferable, non-refundable, cannot be exchanged for cash, and are valid for one-time use only. All vouchers apply to all NEW treatments only. All vouchers must be presented for validation on arrival.  Any bookings made will be subject to my normal booking policy and terms and conditions.

COVID-19 

The World Health Organisation declared Covid-19 a global pandemic in March 2020, in accordance with this there have been changes to the clinic and the ways in which we work following a risk assessment & in relation to necessary health & safety measures.​

All clients must notify us immediately if at any time prior to their appointment (at least 1 week) they begin to feel unwell or display any COVID-19 symptoms. Normal cancellation/rescheduling terms & conditions apply. You must be free from any symptoms before returning for a treatment.​

You must leave at least 2 weeks either side of the vaccine and any treatment with me - this is noted in your confirmation/reminder emails and your pre-treatment forms.  It is your responsibility to ensure these do not clash and the same rescheduling terms and conditions apply. ​There are reports of adverse reactions to treatment areas post vaccination (mainly dermal filler), whilst there is limited evidence at this stage and these instances are rare, we must stress that the risk is still there and you understand and accept this risk when undergoing a treatment. If you develop an adverse reaction, you must seek medical attention immediately. The possible medication may be oral steroids which can then lessen your immunity if vaccinated. Again, you accept these risks when undergoing any treatment after either having Covid or the Vaccine whilst there is little evidence available.  The safety of my clients is always my top priority.

Permanent Cosmetics by Yvette (“We”) are committed to protecting and respecting your privacy.

This policy (together with our terms of use and any other documents referred to on it) sets out the basis on which any personal data we collect from you, or that you provide to us, will be processed by us. Please read the following carefully to understand our views and practices regarding your personal data and how we will treat it.

We keep certain basic information when you visit our website and recognise the importance of keeping that information secure and letting you know what we will do with it. At the time of booking your appointment, your full name and contact details will be taken.  At your appointment, further contact details, medical history and consent will be recorded as required by law. These records are kept private and confidential. You have the right to request to see your forms at any time.  We do not send marketing emails or letters however we aim to adhere to the GDPR rules and changes. We do not pass on any information to any other third parties or use the information for any other way other than relating to your cosmetic treatments.  We legally have to keep your information (address, contact details, what treatment you had on what date, and also photographs for legal reasons) for 5 years. Failure to do this results in a void in insurance. 

For the purpose of the Data Protection Act 1998 (the Act), the data controller is Yvette Smith of 4 North Carr Lane, Saxby All Saints.

This policy only applies to our site. If you leave our site via a link or otherwise, you will be subject to the policy of that website provider. We have no control over that policy or the terms of the website and you should check their policy before continuing to access the site.

INFORMATION WE MAY COLLECT FROM YOU

We may collect and process the following data about you:

• Information that you provide by filling in forms on our site yvettesmithpermanentcosmetics.co.uk (our site). This includes information provided at the time of registering to use our site, subscribing to our service or requesting further services. We may also ask you for information when you report a problem with our site.
• If you contact us, we may keep a record of that correspondence.
